Inviting applications for the role of management Trainee - Payroll Specialist (Austria) (Medium-High Complexity | Execution + Validation + Compliance Support)
Role Purpose
This role is essential in executing and validate complex payroll activities, ensure compliance accuracy, and support reporting, controls, and stakeholder coordination.
Responsibilities
1. Payroll Processing & Validation
• Oversee payroll activities, ensuring compliance with policies and regulations.
• Address and resolve complex payroll issues or escalations.
• Execute and validate monthly closing activities
• Create Payroll control reports
• Final settlements & deregistration
• Ensure correctness of Tax deductions & Social insurance contributions
• Validate time and attendance data and escalate missing or anomalous entries before payroll cut off.
• Ensure statutory reporting readiness for monthly contributions and prepare deregistration submissions when required.
• Enforce data minimization and retention per GDPR and DPA guidance for payroll artifacts.
2. Complex Payroll Calculations
• Handle driver allowances, Travel expenses & Anniversary payments, Disabled employee subsidies etc.
• Lead payroll validation for complex pays elements and ensure interface integrity between HR‑Systems.
• Prepare provision inputs for overtime, annual leave and assignment accruals using provision tools and Excel reconciliations.
• Validate actuarial data for long‑term benefits, early retirement and statutory severance provision calculations prior to submission to actuaries.
3. Compliance Execution
• Support reporting and validation of provision reporting
• Ensure alignment with Austrian tax and labour law.
• Manage compliance checks for payroll processes, including tax reconciliations, contributions and municipal taxes.
• Lead remediation for data protection assessments and support privacy incident investigations.
• Systems Used
Preferred to have\: - ServiceNow, Workday, BMD; HR‑Suite; Assignment Management Tool (AMT); Global Advantage; SAP Concur; ARIBA; Docusign; TMI; Excel; Power BI / Tableau; Outlook MS Teams; SharePoint.
Qualifications we seek in you!
Minimum Qualifications
• Bachelor’s degree in HR, Payroll, or a related field.
• Strong in processing + compliance + reporting
• Advanced proficiency in payroll software (Workday/ADP, SAP/ Oracle HCM Cloud) and reporting tools.
• Five Days working from Office
Preferred Qualifications/ Skills
• Certification in payroll management or HR operations.
• Familiarity with Human Resource Management System platforms, Ticketing tools
(ServiceNow, Zendesk) and European statutory payroll requirements
• Experience in process improvement and automation.
• Preference of an understanding of HRMS Payroll module
